Parish Administrator

St Peter’s Episcopal Parish is hiring a part-time Parish Administrator. This is a non-exempt position, 15 hours per week, reporting directly to the Priest-in-Charge. Pay is $23-29/hour, depending on experience. Hours/days worked each week will be negotiated with the Priest in Charge.

Additional hours may be negotiated based on skills and experience that would add responsibilities for website maintenance and development, social media presence, preparation and distribution of marketing materials, and bulletin production (up to 5 hours additional per week).

In compliance with the Episcopal Church and the Episcopal Diocese of Western Washington’s best practices, parishioners of St Peter’s are not eligible to apply.

Job focus includes working closely with the clergy leaders and vestry to manage day-to-day operations of parish business, coordinate agreements and schedules for building rentals, provide administrative support to ministry and clergy leaders, maintain contracts for building vendors, and provide a warm and welcoming presence for parishioners and community members.

Responsibilities

Tenant Relations Coordinator

  • Promote rental space for community use

  • Negotiate contracts with new building users (in consultation with Rector and/or Vestry as needed) and orient new users.

  • Ensure all tenants/building users are in compliance with keyholder policies

  • Assure rental activity is appropriate, activity does not interfere with St Peter’s programming and that it will be within St Peter’s capability to accommodate, e.g., adequacy of furniture and equipment, sound system, etc.

  • Coordinate information flow to staff members as appropriate

  • Work with rental client and Rector to assure all necessary details are being properly managed and act as liaison between client and Rector about preventative and emergency maintenance

  • Maintain and update the master calendar accessible to staff for planning purposes

Administrative Support

  • Answer phone calls, monitor and respond to general email inquiries, and generally be first point of contact for visitors

  • Process sermon and/or worship videos for online uploads

  • Be primary administrator for Google Suite and other online accounts

  • Create and maintain files as necessary for the parish office, including Safe Church records for all employees, volunteers and tenants/key holders

  • Assist with larger projects as needed (Annual Report)

  • Serve as the human resources administrator for the parish

  • Maintain accurate and complete employee records

  • Assist new hires with on-boarding HR tasks

  • Assist with Diocesan paperwork related to benefits

  • Process and distribute all mail, including email and notices to staff and lay leaders as appropriate

  • Attend regular staff meetings

Occasional Duties:

  • Order office supplies as needed

  • Provide office assistance in use of telephones, printer, and voicemail

  • Schedule repairs and service for printer and other office equipment

  • Other duties as assigned
